HVAC service pricing: how to price calls, repairs, and installs
From the diagnostic fee to a full change-out, here's how to price HVAC work so your margin holds — and why a flat-rate price book beats quoting from memory.
Start with the diagnostic
Charge a real diagnostic / service-call fee — it covers your drive time and expertise, and you can credit it to the repair if they approve. Never give the trip away.
Flat-rate the common repairs
Capacitors, contactors, motors, ignitors, and refrigerant work are perfect flat-rate tasks: price them once with parts + labor + overhead + margin, and quote in seconds. A dual run capacitor, a condenser fan motor, a compressor by tonnage — all become one tap.
Protect margin on parts
Parts prices move. Carry your real cost plus your markup on each part so a price jump doesn't quietly eat your margin — update the task once and every future quote is protected.
Bid the change-out, don't guess it
For installs, price by real material and labor with your target margin, and show the customer a clean estimate. See HVAC pricing software and the 373-task HVAC price book.
